KIV ("KIV", "we", "us", or "our") operates a peer-to-peer marketplace where members can buy and sell second-hand items. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the rights you have over your information.
KIV is intended for users aged 18 and over.

1. Information We Collect
Depending on how you use KIV, we may collect the following information.
Account information. When you create or update an account, we may collect:
- Email address
- Username
- Profile photo
- General location, such as your city
- Account preferences
- Account creation and activity information
Your email address is not publicly displayed to other KIV members.
Listing information. When you create a listing, we may collect:
- Item title
- Description
- Price
- Category
- Item condition
- Photos
- Listing status
- Information relating to the sale
Listings may be publicly visible to other KIV users.
Messages. If you use KIV's messaging system, we process the messages and other information you send through the service so that buyers and sellers can communicate. Messages may also be reviewed or processed where necessary for safety, fraud prevention, abuse investigations, dispute handling, or compliance with our rules and legal obligations.
Order and shipping information. When you purchase or sell an item, we may process information required to complete the transaction, including:
- Shipping address
- Delivery information
- Order number
- Order status
- Buyer and seller information
- Shipping information
- Information required to resolve delivery or transaction issues
Payment information. Payments are processed by our payment provider, Stripe. Where Stripe's secure checkout is used, your full card details are entered directly into Stripe's payment environment and are not stored on KIV's own servers. KIV may receive limited payment-related information from Stripe, such as payment status, transaction identifiers, and information necessary to manage your order.
Sellers receiving payouts. If you sell on KIV, your payout is sent to your bank account via Stripe Connect. You enter your bank details directly into Stripe's own onboarding flow — KIV never sees or stores your bank account number or sort code, only an account reference id and whether payouts are enabled.
Tax information for sellers. UK law requires online marketplaces to collect information about sellers who pass certain sales thresholds and report it to HMRC annually. If you approach or cross that threshold, we may ask you for your full name, address, date of birth, and National Insurance number or Unique Taxpayer Reference, and we will report your sales activity to HMRC as required by law. We only request this information when legally required to, and we don't ask for it over KIV's messaging system.
Reviews and ratings. If you leave a review or rating following a transaction, the review and rating may be displayed to other KIV users together with your username and other publicly available profile information.
Customer support. If you contact KIV, we may collect:
- Your email address
- The contents of your message
- Information about your account
- Information you provide to help us resolve your request
2. AI-Powered Features
KIV may use artificial-intelligence technology to provide certain features.
AI item scanner. If you choose to use KIV's AI item scanner, photographs and information you provide for the scan may be sent to our AI service provider, OpenAI. The AI scanner may be used to help identify an item, run a live web search for comparable listings to estimate a fair price, and flag potential authenticity concerns. Information submitted to the scanner is used to provide the requested result and is not automatically added to your KIV listing unless you choose to use the result or associated information.
AI-powered search. When you search the marketplace, your search text may be sent to OpenAI to interpret it into filters such as price range, condition, or category, so you get more relevant results.
Automated content moderation. KIV may automatically check listing information, including text and photographs, before or after publication. These checks may use automated technology, including AI-based systems and fixed prohibited-item rules, to identify potentially prohibited or unsafe listings, including items such as weapons, illegal drugs, and other items prohibited by KIV. Where appropriate, automated systems may flag, restrict, or prevent a listing from being published.

3. How We Use Your Information
We use personal information where necessary to:
- Create and manage your KIV account
- Display marketplace listings
- Allow buyers and sellers to communicate
- Process purchases and sales
- Process payments and seller payouts
- Arrange and track deliveries
- Provide customer support
- Process refunds, disputes, and transaction issues
- Detect and prevent fraud
- Detect prohibited listings
- Protect users and the KIV platform
- Maintain and improve KIV
- Send essential account and transaction communications
- Send optional product updates or marketing where you have permitted us to do so

4. Legal Bases for Processing
Where UK data-protection law applies, we rely on appropriate legal bases for processing your information. These may include:
Contract. We process information necessary to provide KIV's services and fulfil transactions with you, such as creating your account, processing orders, and facilitating sales.
Legal obligation. We may process and retain information where necessary to comply with legal, accounting, tax, regulatory, or other legal requirements.
Legitimate interests. We may process information where reasonably necessary for legitimate interests, such as:
- Preventing fraud
- Protecting KIV users

Consent. Where required, we rely on your consent for certain activities, such as optional marketing communications or other processing where consent is the appropriate legal basis. You can withdraw consent where processing is based on consent.
5. Information We Share
We do not sell your personal information to third parties. We may share information with service providers that help us operate KIV. These may include:
- Supabase — database, authentication, and file storage.
- Stripe — payment processing and seller payouts (Stripe Connect).
- Mapbox — location and address-related search functionality where used.
- OpenAI — AI item-scanning, AI-powered search, and automated content-moderation functionality.
- Shippo — shipping label purchase and carrier tracking, which requires sharing the buyer's delivery address and the seller's ship-from address with the relevant carrier.
- Resend — delivering account, order, and support emails to your inbox.
- Google — if you choose to sign in with Google, Google processes the sign-in and shares your name, email address, and profile photo with us to create or access your account.
We may also share information where necessary:
- To comply with a legal requirement, including reporting seller sales information to HMRC under the UK's digital platform reporting rules where a seller passes the relevant threshold
- To respond to a lawful request from authorities
- To investigate fraud or suspected illegal activity
- To protect KIV, our users, or the public
- To enforce our Terms and policies
- To handle disputes or legal claims
- As part of a business transfer, merger, acquisition, or sale of assets, where legally permitted
We require service providers that process information on our behalf to handle it appropriately and in accordance with applicable requirements.
6. Information Visible to Other Members
KIV is a marketplace, so some information is intentionally visible to other users. Depending on your account and activity, this may include:
- Username
- Profile photo
- General location
- Listings
- Listing photographs
- Reviews
- Ratings
- Information you choose to include publicly
Your email address is not publicly displayed to other members.
Do not include private information, such as your home address, telephone number, passwords, or financial information, in a public listing or profile.
7. International Data Transfers
Some of our service providers may process information in countries outside the United Kingdom. Where personal information is transferred internationally, we will use appropriate safeguards required by applicable data-protection law. These safeguards may include adequacy regulations or approved contractual protections where required.
8. Cookies and Similar Technologies
KIV uses cookies and similar technologies where necessary to operate the service. For example, we may use an essential session cookie to keep you signed in and maintain your authenticated session.
We do not use third-party advertising cookies for behavioural advertising. If we introduce analytics, advertising, or other non-essential cookies in the future, we will provide appropriate information and obtain consent where required.
9. Data Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure. However, no online service can guarantee absolute security.
You are responsible for keeping your account credentials confidential and should contact us promptly if you believe your account has been compromised.
10. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy. Generally:
- Account information is kept while your account remains active.
- Listing information is kept as necessary to operate the marketplace and maintain transaction records.
- Transaction and accounting information may need to be retained for longer periods to meet legal requirements.
- Support communications may be retained for as long as reasonably necessary to resolve the issue and maintain appropriate records.
- Security and fraud-prevention information may be retained for an appropriate period where necessary to protect KIV and its users.
When information is no longer required, we will delete it or anonymise it where reasonably possible.
11. Deleting Your Account
You may request deletion of your KIV account and associated personal information. You can delete your account directly through your account settings (Profile → Account Settings → Privacy).
Some information may need to be retained after account deletion where we have a legal obligation or legitimate reason to keep it, including certain transaction, accounting, fraud-prevention, or dispute records.

Depending on the circumstances and applicable law, you may have rights including:

13. Complaints

KIV is intended for people aged 18 and over. We do not knowingly allow children under 18 to create or use KIV accounts. If we become aware that we have collected personal information from someone under 18, we will take reasonable steps to investigate and delete the information where appropriate.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make a material change that affects how we use personal information, we will provide appropriate notice before the change takes effect where required by law. The "Last updated" date at the top of this policy will show when the policy was most recently updated.
